1. Introduction

LogiX Cloud ERP is a software-as-a-service platform owned and operated by Flair Software Solutions LLC, having its registered office at Dubai, UAE (“Company”, “we”, “us”, or “our”).

Flair Softwares Pvt. Ltd, having its registered office at Ahmedabad - 380051, Gujarat- India, may act as our affiliated technology, development, implementation, support, maintenance, or processing entity for LogiX Cloud ERP.

This Privacy Policy explains how we collect, use, store, process, protect, share, retain, and delete information when customers and users access LogiX Cloud ERP, its website, modules, integrations, APIs, and related services.

2. Scope of this Policy

This Privacy Policy applies to:

  • Visitors of the LogiX website
  • Customers and tenants using LogiX Cloud ERP
  • Authorized users created under a tenant account
  • Business data entered, uploaded, imported, or generated inside the platform
  • Uploaded documents and attachments
  • Optional integrations such as Google Contacts, Microsoft 365 / Outlook Contacts, eInvoice, MPCI, eFBL, PEPPOL, cloud storage, and other connected services

This Privacy Policy should be read together with our Terms and Conditions, quotation, subscription agreement, service level agreement, and any separate written agreement.

3. Company Responsible for Data

For UAE customers, Flair Software Solutions LLC is the primary company responsible for the operation of LogiX Cloud ERP and for determining how data is collected, used, stored, shared, and protected.

Our Indian affiliate, Flair Softwares Pvt. Ltd, may assist with software development, implementation, technical support, maintenance, troubleshooting, monitoring, and service operations.

Where applicable, the Indian affiliate may process data only for the purpose of providing, supporting, maintaining, securing, or improving LogiX Cloud ERP services.

4. Information We Collect

We may collect and process the following categories of information:

4.1 Account and User Information

This may include user name, email address, mobile number, login credentials, user role, branch, department, permissions, profile details, authentication records, and account status.

4.2 Business and Operational Data

This may include shipment records, customer records, supplier records, shipper details, consignee details, vendor details, invoices, vouchers, purchases, receipts, accounting entries, tax records, payment details, reports, transaction data, and other business records entered or generated by users.

4.3 Uploaded Documents and Attachments

This may include operational documents, finance documents, shipping documents, invoices, bills, receipts, vouchers, tax documents, customer documents, supplier documents, eInvoice files, MPCI records, eFBL documents, and other files uploaded or attached to vouchers, shipments, invoices, purchases, accounting records, or other business records.

4.4 Contact Data

Where contact management or contact import features are used, we may process contact names, email addresses, phone numbers, company names, job titles, postal addresses, organization details, and other contact fields provided by users or imported through authorized third-party integrations.

4.5 Integration Data

Where integrations are used, we may process data required for eInvoice, PEPPOL, MPCI, eFBL, Google Contacts, Microsoft Contacts, cloud services, government-related systems, filing systems, payment services, email services, document exchange platforms, or other business integrations.

4.6 Technical and Usage Data

This may include IP address, browser type, device information, operating system, login logs, audit logs, error logs, activity logs, module usage, access time, configuration preferences, and performance data.

4.7 Support and Communication Data

When you contact us for support, training, implementation, billing, or technical assistance, we may collect your name, email address, phone number, company details, support messages, screenshots, attachments, call notes, and communication history.

5. How We Use Information

We use information to:

  • Provide, operate, maintain, and improve LogiX Cloud ERP
  • Create and manage tenant accounts and user access
  • Process logistics, shipping, finance, accounting, reporting, and document workflows
  • Store and attach uploaded documents to vouchers, shipments, invoices, purchases, and related records
  • Provide eInvoice, MPCI, eFBL, PEPPOL, contact import, and other selected integrations
  • Preview, validate, de-duplicate, and import selected contacts
  • Provide support, training, troubleshooting, and implementation assistance
  • Monitor system performance, security, and availability
  • Prevent fraud, misuse, unauthorized access, and security incidents
  • Send service-related alerts, notifications, and administrative messages
  • Comply with legal, contractual, tax, regulatory, security, and audit obligations
  • Enforce our Terms and Conditions and protect our legal rights

We do not sell customer business data, uploaded documents, or contact data.

6. Customer Data Ownership

The Customer remains the owner of its business data, operational data, finance data, uploaded documents, contact records, reports, and attachments entered, uploaded, imported, or generated within LogiX Cloud ERP.

We do not claim ownership over Customer data.

The Customer is responsible for the accuracy, legality, authorization, quality, and completeness of all data and documents processed through LogiX Cloud ERP.

7. Customer Responsibility for Personal Data

LogiX Cloud ERP is a B2B SaaS platform. Customers may enter, upload, import, or process personal data relating to their employees, customers, suppliers, vendors, shippers, consignees, agents, contacts, and other business parties.

The Customer is responsible for ensuring that it has the necessary authority, consent, contractual basis, or legal basis to collect, upload, import, process, and manage such personal data within LogiX Cloud ERP.

The Customer is also responsible for informing its own users, employees, customers, suppliers, vendors, and business contacts about how their personal data may be processed through LogiX Cloud ERP, where required by applicable law.

8. Document Upload and Cloud Storage

LogiX Cloud ERP allows users to upload, store, view, download, and attach documents to vouchers, shipments, invoices, purchases, accounting records, and other operational records.

Uploaded documents may be stored using secure cloud infrastructure, cloud storage providers, database services, backup systems, or document storage services.

Uploaded documents are used only to provide the selected business functionality, document management, support, compliance, reporting, backup, audit, and service operations.

Access to uploaded documents is controlled through tenant access, user permissions, application security, and internal access restrictions.

9. Google Contacts Integration

If a user chooses to connect a Google account, LogiX Cloud ERP may access Google Contacts only after user authorization through Google’s secure consent process.

Google Contact data may include names, email addresses, phone numbers, company details, job titles, postal addresses, organization details, and other contact fields available in the user’s Google Contacts account.

Google Contact data is used only to:

  • Display contact previews before import
  • Validate contact details
  • Identify duplicate records
  • Allow the user to select contacts for import
  • Import selected contacts into LogiX Cloud ERP
  • Support contact management features requested by the user

We do not use Google Contact data for advertising, profiling, unrelated marketing, or selling to third parties.

LogiX Cloud ERP’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Information obtained through Google APIs is not used to develop, improve, or train generalized artificial intelligence or machine learning models.

Users may revoke Google access at any time through their Google Account permissions or by disconnecting the integration within LogiX Cloud ERP, where available.

10. Microsoft 365 / Outlook Contacts Integration

If a user chooses to connect a Microsoft 365 or Outlook.com account, LogiX Cloud ERP may access Microsoft contact information only after user authorization through Microsoft’s secure consent process.

Microsoft contact data may include names, email addresses, phone numbers, company details, job titles, postal addresses, organization details, and other contact fields available in Microsoft Contacts.

Microsoft contact data is used only to:

  • Display contact previews before import
  • Validate contact details
  • Identify duplicate records
  • Allow the user to select contacts for import
  • Import selected contacts into LogiX Cloud ERP
  • Provide synchronization where enabled and authorized by the user
  • Support contact management features requested by the user

We do not sell, rent, or use Microsoft contact data for advertising or unrelated marketing.

Users may revoke Microsoft access through their Microsoft account permissions, Microsoft 365 administrator settings, or by disconnecting the integration within LogiX Cloud ERP, where available.

11. eInvoice, MPCI, eFBL, and Business Integrations

LogiX Cloud ERP may include integrations for electronic invoicing, PEPPOL document exchange, Maritime Pre-Cargo Information filing, FIATA eFBL processing, digital document exchange, tax validation, government filing, payment services, logistics services, and other business systems.

When these features are used, LogiX Cloud ERP may transmit, receive, validate, store, or process required business data with authorized third-party service providers, access points, government-related systems, filing platforms, or document exchange networks.

This data may include company details, customer details, supplier details, shipper details, consignee details, shipment information, invoice information, tax registration details, payment details, cargo details, document references, filing information, validation responses, transaction status, document identifiers, and related metadata.

These integrations are used only to provide the selected service, complete the requested transaction, comply with applicable requirements, or support the Customer’s business process.

We do not sell this data or use it for advertising or unrelated marketing.

12. Sharing of Information

We may share information only where necessary:

  • With authorized users within the Customer’s tenant account
  • With our UAE entity, Indian affiliate, employees, contractors, and support personnel who need access for service delivery
  • With cloud hosting, storage, database, backup, email, SMS, support, monitoring, and infrastructure providers
  • With third-party integrations authorized by the Customer or user
  • With eInvoice, MPCI, eFBL, PEPPOL, government, tax, logistics, payment, or document exchange service providers where the relevant feature is used
  • With professional advisors, auditors, legal consultants, insurers, or consultants where required
  • With courts, regulators, government authorities, or law enforcement where required by law or valid legal process
  • In connection with business restructuring, merger, acquisition, financing, or transfer of business, subject to appropriate safeguards

We do not sell customer business data, uploaded documents, or contact data.

13. Security

We use reasonable technical and organizational measures to protect information processed through LogiX Cloud ERP.

These measures may include access controls, authentication, permission management, encryption in transit, encryption at rest where applicable, audit logs, backup procedures, monitoring, internal access controls, and security review processes.

Access by our personnel is restricted and allowed only where necessary for support, troubleshooting, maintenance, security, service delivery, legal compliance, or authorized operational purposes.

No cloud service, internet-based platform, electronic transmission, or storage system can be guaranteed to be completely secure.

Customers are responsible for maintaining strong passwords, managing user permissions, reviewing access rights, and promptly notifying us of suspected unauthorized access.

14. Data Retention

We retain Customer data and uploaded documents while the subscription is active or as required for service delivery, backup, audit, legal, tax, regulatory, dispute resolution, contractual, and security purposes.

After termination, data export, retention, archival, and deletion will be handled according to the applicable agreement, SLA, backup policy, data retention policy, and legal requirements.

Backup copies may remain for a limited period until deleted or overwritten according to normal backup cycles.

15. Data Export, Correction, and Deletion

Customers may export available records and reports through the export, report, and bulk download features available in LogiX Cloud ERP.

Users or Customers may request correction, update, export, or deletion of personal data by contacting us.

Deletion requests may be subject to identity verification, Customer authorization, contractual terms, technical feasibility, backup cycles, and legal or regulatory retention requirements.

Where the data belongs to a Customer tenant account, we may refer the request to the relevant Customer administrator because the Customer controls the data inside its tenant account.

16. Consent Withdrawal and Integration Disconnection

Where processing is based on consent, users may withdraw consent where applicable.

For Google, Microsoft, or other third-party integrations, users may revoke access from the relevant third-party account permissions page or disconnect the integration from LogiX Cloud ERP, where available.

Withdrawal of consent or disconnection of an integration may limit or stop related features.

17. International Data Processing

LogiX Cloud ERP may be operated, supported, hosted, or processed through entities, cloud providers, infrastructure providers, support teams, and third-party integrations located in the UAE, India, or other countries.

Where data is transferred or processed outside the Customer’s country, we take reasonable steps to ensure such processing is performed for legitimate service purposes and subject to appropriate contractual, technical, and organizational safeguards.

18. Cookies and Website Usage

Our website may use cookies, analytics tools, and server logs to understand website usage, improve performance, maintain security, and enhance user experience.

Users may control cookies through browser settings. Disabling cookies may affect some website features.

19. Children’s Data

LogiX Cloud ERP is intended for business use and is not directed to children.

Customers and users should not knowingly upload or process children’s personal data unless they have the necessary authority, consent, and legal basis under applicable law.

20. Changes to this Privacy Policy

We may update this Privacy Policy from time to time due to changes in our services, legal requirements, integrations, security practices, or business operations.

Updated versions may be published on the LogiX website, inside the platform, or communicated through official channels.

Continued use of LogiX Cloud ERP after the updated Privacy Policy becomes effective shall mean acceptance of the revised policy, where permitted by law.
